Voadera is growing quickly, and we have big plans to expand our partnerships with brands, vendors, and suppliers, as well as develop our own brand. To help us on this journey, we’re looking for a friendly and organized person to join us as an Executive Assistant. This role will be key in supporting our senior management team and keeping things running smoothly across different departments.

We are looking for a seasoned Executive Assistant to join our team and support our senior management.
This isn't your typical EA role - our ideal candidate will bring a wealth of experience and be ready to handle a wide range of responsibilities in a fast-paced environment.
In this role, you will :
📅 Manage executive calendars, schedule appointments, meetings, and travel arrangements
📝 Coordinate and prepare materials for meetings, including agendas, presentations, and reports
📧 Draft and manage correspondence and communications on behalf of the executive
🔍 Conduct research and compile data to support decision-making processes
💰 Assist with budget tracking, expense reports, and invoice processing
📁 Manage and organize company folders and company AORs/SOPs
📈 Provide strategic administrative and project management support for the executive
🚀 Lead and coordinate multiple projects to ensure timely completion and alignment with company goals
🗂 Develop project plans, monitor progress, and communicate updates to stakeholders
🎯 Lead the recruitment process by sourcing, screening, and interviewing candidates for various positions within the company
👋 Manage the onboarding process for new hires, ensuring they are properly integrated into the company
🎉 Plan and execute various team events and off-sites
🗣 Act as a point of contact for employee concerns and provide support for resolving issues
🏅 Assist in organizing employee recognition and morale-boosting activities
We're looking for someone with strong leadership abilities, who has the potential to grow into a Chief of Staff role.
You should be quick and responsive, with a keen eye for accuracy.
You should also excel at creating documents and organizing systems, making everything run smoothly.
Working Hours ⏰: This is a full-time role, with a preference for Central Time Zone hours and availability on weekends, especially Saturdays, if needed. You’ll be part of a vibrant team in a growing company, playing a key role in our success!
To excel in this role, you need to have:
✅ 2-4 years proven experience as an Executive Assistant or similar role.
✅ Experience in project management and familiarity with project management tools and methodologies.
✅ Proven experience in recruiting, hiring, and onboarding processes.
✅ Experience working with executives in a rapidly growing environment, preferably in SaaS or in consulting/agency environments.
✅ Strong organizational and time-management skills.
✅ Excellent verbal and written communication abilities in English.
✅ Proficiency in Google G-Suite Apps and Microsoft 365.
✅ Tech savviness and determination to learn new things quickly.
✅ Ability to prioritize tasks and work efficiently under pressure.
✅ Ability to manage many projects at once and excellent organization skills
✅ High level of professionalism, discretion, and confidentiality.
✅ A can-do attitude and natural ability to adapt in a dynamic environment.
